Position: HR & Data Administrator

Location: Ballymount, Dublin 12 (Hybrid Role 1-2 days a week in office)

Basic Pay: €39,000

Hours: 40 per week

Schedule: Monday – Friday

The HR & Data Administrator will take a knowledgeable and proactive approach to human resources activity in the organisation. The ideal candidate will play a pivotal role in supporting the daily operations of the HR department and ensuring compliance with employment laws and best practices. This position requires a well-rounded junior HR professional seeking a fast-paced environment in which to develop and focusing on elements of the employee lifecycle such as HR operational queries, onboarding, HRIS systems and data analytics. A detail-oriented professional with excellent communication skills and the ability to prioritize tasks will thrive in this role.

Core Responsibilities

Employee Onboarding:

  • Gather necessary paperwork and input data into HRIS and payroll systems;
  • Coordinate induction, orientation and training sessions;
  • Liaise with various departments to ensure a smooth onboarding process;
  • Monitor progress of new employees during onboarding period;

Employee Offboarding:

  • Facilitate the offboarding process for departing employees, ensuring compliance with company procedures;
  • Conduct exit interviews and compile data for HR analysis;
  • Manage administrative tasks associated with offboarding such as final pay, benefits discontinuation, and asset retrieval;

HR Process & Admin:

  • Administer day-to-day HR operations, ensuring accuracy and compliance with company policies and legal requirements
  • Maintain and update HRIS systems, employee records, and documentation in accordance with legal standards
  • Prepare and process documents related to employee activities (recruitment, training, grievances, performance evaluations, etc.);
  • Assist in the development and implementation of HR policies, procedures, and programs
  • Assist in organisational development initiatives including training, engagement surveys, and culture-building activities
  • Participate in compliance audits such as Excellence Through People and assist with all related reporting
  • Maintain accurate and up-to-date human resource files, records, and documentation;
  • Support the investigation of any disciplinary or grievance matters by taking notes at meetings, preparing documentation and assisting with communication between parties;

Compensation and Benefits Administration:

  • Coordinate closely with Payroll team to ensure the accurate payment and administration of employee compensation and benefits;
  • Assist in the management of employee benefit programs, including health, retirement, and other benefits/schemes;

Reporting:

  • Compile regular reports on HR metrics such as turnover, hiring status, benefits enrollment, etc.
  • Provide reports to HR management and other stakeholders as requested;

Any other duties, management may from time to time deem necessary and reasonably require, consistent with the spirit of the role, in order to meet the ever-changing needs of the company and its employees.

Skills & Requirements:

Required:

  • CIPD accredited third level qualification in human resources or related area;
  • At least 1 years’ experience in HR administration or similar role;
  • Good working knowledge of Google suite (i.e. Gmail, Google Sheets, Google Docs);
  • Strong communication skills;
  • Excellent organisational skills;
  • Self-motivated and driven;
  • Detail oriented;
  • Ability to work in a fast-paced and pressurised environment;
  • Fluent in English, both spoken and written;

Desirable:

  • Previous experience working in a unionised environment.
  • Knowledge of the workings of SuccessFactors HCM, Recruit & Onboard is advantageous
