Job Summary:

To provide administrative support to the Dublin office

Job Duties:

  • Manage the visitor and reception function for the office.
  • Answer switchboard calls and route to relevant destination.
  • Book visitors in at ground level reception.
  • Ensure that guest arrivals are acknowledged by the host and assistance given when required.
  • Directly support senior and executive managers with any administrative tasks (e.g., diary keeping, travel, expenses etc.).
  • Oversee the meeting room schedule for the Dublin office and organise any refreshments/lunches that may be required.
  • Manage inbound and outbound post, including couriers.
  • Work on ad-hoc projects as directed by the office manager.
  • Support the office manager with any facilities matters (health and safety, ordering stationary/consumables etc.).

Qualifications

Job Requirements:

  • A minimum of 3 years’ administrative experience
  • Able to work with senior individuals professionally
  • Confident and friendly with excellent communication skills
  • Customer service centric mentality
  • Ability to use own initiative
  • Computer literate particularly in Word, Excel, PowerPoint etc.
  • Ability to work on multiple tasks simultaneously
  • Excellent attention to detail
