Job Description
About this job:
Support Group CIO and members of PartnerRe IT and the IT function as a whole in administrative matters in an independent, proactive and efficient manner.
Coordinate the annual BCP process steps (across 15 locations), act as key contact for BCP questions and maintain key BCP and Crisis Management documents so that they are up to date.
About the role:
Executive IT Assistant
- Organisation/coordination of (complex) internal and external meetings, travels and conference calls for several team members
- Responsible for cost-effective travel arrangements including travel expense reporting
- Ensure proper and timely preparation and arrangements of internal and external meetings
- Organisation/coordination of events
- Coordination/Oversight of Onboarding of IT Externals
- Support the onboarding of internal IT joiners
- Support of other Executive Leadership Team members as needed
- Administrative support in several areas within IT, examples being:
- Quarterly SOX 302 Reporting
- SOC (System and Organization Controls) Report requests and follow-up
- Collecting data (for metrics, KPIs) and evidence (for controls)
Deputy Group BCP Coordinator
- Responsible for overseeing and ensuring the execution of the annual local BCP activities (review and update of guidelines and plans, test of plans, collect test evidence and verifications)
- Act as contact person for BCP related questionnaires & questions that come from cedants, regulators, audit etc. and ensure that questions are answered in a timely fashion
- Responsible for creating certain BCP documents (quarterly update to Group Risk Function, annual BCP report for Enterprise Risk Committee)
- Coordinate with Corporate Communications with respect to BCP awareness
- Be a member of the PartnerRe Group Crisis Management Team
Qualifications
About you:
- Experience as an Executive Assistant in an international, multicultural work environment, ideally in IT and/or the financial industry
- Strong communication skills and fluency (written and verbal) in English, French or German are a plus
- Used to work with MS Office (specifically MS Excel), and Concur
- Ability to maintain high standards despite pressing deadlines
- Excellent organizational skills with high attention to details
- Comfortable working with people at all organisational levels, i.e. ability to work effectively and collaboratively with various departments, levels, and locations throughout the organization
- Ability and experience to work in an international and multi-cultural environment
- A results-focus and bias towards action
- Ability to leverage interpersonal skills to establish rapport and develop relationships
